E-mail is useful for letting large groups of people see the same information. In some cases, replies to a message should go to everyone while in other cases they should only go to the original sender.
Most e-mail systems offer both Reply (just respond to the original sender) and Reply All (respond to all recipients of the original message) for this purpose. In some instances when you are composing an e-mail, you may want to force any replies to go to all recipients rather than just coming back to you.
Outlook 2007 offers this option when creating a new message, so that even if someone responds with just a Reply, the response will still go to everyone included on the original message.
You can use this functionality through the following steps:
1. When composing a new e-mail, click on the “Options” tab at the top of the window.
2. Click the button to the far right that says “Direct Replies To.”
3. A “Message Options” window will appear. Look for a heading near the middle of the window that says “Delivery Options.”
4. There will be a check mark in the box next to “Have replies sent to:” and your name will be there.
5. Click the “Select Names” button to the right of your name, and you will be presented with the Global Address List. Search for the names of anyone else you want replies to this message to be sent to. Once you find someone to include, just double-click on the name. You will see it appear in the “Reply To” field at the bottom of the window.
6. Once you have added all the names you want, click the OK button. Then click the Close button on the “Message Options” window.
Now you can finish composing and sending your e-mail. When someone tries to respond to your message by using Reply, the message will automatically go to anyone you have selected.
